Overview & Responsibility
A successful Administration and HR Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records. Additionally, you will support in the recruitment, on-boarding and talent management through developing policies and managing procedures.
Responsibilities
Human Resources:
· Forming and maintaining employee records
· Updating databases internally to account for all changes within the organization
· Preparing and amending all HR documents where necessary
· Reviewing and renewing company policies and legal compliance
· Communicating with external partners and stakeholders to ensure the organization’s solid legal and administrative standing
· Reporting regularly on HR metrics
· Being the first point of contact for employees on any HR related queries
· Assisting with payroll by providing the department with relevant employee information, i.e. holiday and sick days taken
Administration
· Helping with various arrangements internally, from travel to processing expenses
· Managing and distributing office supplies stock and placing orders
· Preparing regular financial and administrative reports
· Prepare regular reports on expenses and office budgets
· Maintain and update company databases
· Organize a filing system for important and confidential company documents
· Answer HR & Admin queries by employees and clients
· Update office policies as needed
· Maintain a company calendar and schedule appointments
Basic Qualifications
· Experience as a HR administrator or HR administrator’s assistant
· Understanding of various HR software systems
· Computer literate with programs such as word, excel, etc.
· Good understanding of the Sudanese labour laws
· Organizational skills and ability to prioritize tasks and engage multiple team members with high-priority tasks
· Interpersonal and good communicative skills
· BSc in HR or a relevant field
· Data-driven mindset
